           - An introduction to the stock count module.

The Stock Count module is where you administer your stock counts. Even if you have a modest inventory, or service cars with a mobile inventory, the stock count module provides you with valuable functionality.

Stock Counts can be created manually, but what really makes a difference is the native integration to bar code readers that the stock count module in Service Suite provides.

The stock count module in Service Suite, serves numerous different purposes. Examples of these can be found in the Tips & Tricks section below.

The module is divided into a few sections and looks like this:

As the above illustration shows the stock count module consists of 3 sections.

 Functions.

From the icon bar functions that affects only the currently selected stock count can be selected. The available functions are: "Import", "Export", "Print", "Adjust" and "Quick search settings", which in Service Suite is illustrated like this:

 Selection & Administration of stock counts.

In this section you can select and administer your stock counts.

Here you select which stock count you wish to work with. If you wish to create a new stock count, edit or delete an existing stock count, you can press the button: "Administer stock counts" which will launch a dialog in which this can be done. You can also close your stock count, by pressing the button: "Close stock count". No modifications can be made to closed stock counts.

Service Suite allows you to have an unlimited number of stock counts.

 The stock count.

In the list the currently selected stock count is displayed. This is where you can add products to your stock count and enter the amount of each product in stock. The list could look like this:

Products can be added to your stock count by pressing the button: "Add items", which allows you to find the products that you wish to add to your stock count. When pressed following dialog will appear:

In this dialog you can search for those products that you wish to insert into your stock count, and when those products has been selected you press the link: "Insert items", which will append the selected products to your stock count.

When the products have been appended to your stock count, you can click in the quantity column for the selected product, and enter the number of products in stock. The value of the counted stock will be displayed below the list of products.

Besides specifying the quantity it is possible to change the description and the price of the product as well. The price can be entered as cost price, sales price or sales price incl. VAT. Which price is used depends on the properties on the stock count. How to alter the properties of the stock count is explained in the articles in the Tips & Tricks section below.

 Quick search

In some cases it is not feasible to add many products to your stock count by using the button: "Add items". This is why Service Suite contains a quick search feature for appending products to your stock count. To enable this quick search feature you click the link: "Quick search settings" in the icon bar, which will launch this dialog:

If you wish to be able to use the quick search feature in the stock count module, you check the "Stock counts" field. In this dialog you can also specify which fields the quick search should search in. When these fields are specified the button: "OK" is pressed and the stock count module will now look like this:

As shown on the above illustration an additional quick search area has appeared. If we take a close look on this section it looks like this:

In this quick search area you can enter your product number and press Enter. By doing this Service Suite will find the product and populate the fields "Description" and "Price". When the product has been found the cursor will be placed in the quantity field, where you can enter the quantity and press Enter which will insert the product with the specified values on your stock count. It is also possible to alter the description, as well as the price of the product.

Which fields the quick-search search in depends on which fields that was selected in the "Quick search settings" dialog. The pre-populated price depends on the properties of the currently selected stock count.

 Closing the stock count

When your stock count has been entered, you can choose to close the stock count by pressing the button: "Close stock count". This will close the currently selected stock count, and it will no longer be possible to make changes to this.

When a stock count has been closed, it can be exported from Service Suite and imported into your ERP system.

The stock count module in Service Suite serves numerous different purposes, and can be used in many ingenious ways.

Below is listed some Tips & Tricks that explains the more common uses of the stock count, as well as a few articles which illustrates alternative and useful ways of using the stock count module.
