Service Suite - Stock count - How do I export the stock count?
In Service Suite it is very easy to export a stock count to e.g. your ERP system. Most ERP systems provide functions for importing stock counts from comma-separated files, which can be exported from Service Suite.
As there are no common file definition for how ERP systems import stock counts, the first thing to do is to figure out how, and in which format, your ERP system is capable of importing stock counts.
When this is done you use Service Suite to configure the format, required by your ERP system.
Defining a format for exporting stock counts.
You can define a format for exporting your stock counts by selecting the menu: "Settings" from the "Main menu" in Service Suite.
The menu now changes and contains a number of new menus. From this new menu you select the menu: "ERP-system", which will display the following screen:

The exchange folder will probably be defined at this point, but should that not be the case, the exchange folder can be defined by pressing the button: "Change Folder".
In order to define the format for exporting stock counts, we click the link: "Change format", besides the label: "Stock count". Service Suite will then launch following dialog:

To create a new format we press the button: "Create new format", which will launch another dialog:

In this dialog you enter a name for the format, as well as a brief description of the format. Besides this you specify the filename of the file that you typically wish to export your stock counts to. Only the filename should be entered, as the path is specified by the exchange folder.
As many ERP systems have somewhat limited import options, it is also possible to specify whether the used character set should be ANSI or ASCII.
The file type will in most cases be comma-separated (CSV) files.
When this information has been specified the button: "Next >" is pressed which will take us to the next step of the dialog:

Here you specify which fields to export, as well as the position the fields should be exported in. If there are fields that should not be exported a 0 can be entered in the position column besides the field.
You might wonder why so many fields can be exported, as a stock count basically consists of the product number and quantity of each product. The reason for this is that some ERP systems allows you to import stock transactions which sometimes requires a bit more fields than just the product number and quantity. In most cases it will be sufficient to export the product number and quantity though. You can do this by entering 0 in the position column besides all the fields that should not be exported.
When the format has been defined the button: "Finish" is pressed and the dialog will be closed. Your new format can now be selected from the list of available formats in the previous dialog. Press "OK" and we are ready to export the stock count.
Export stock count.
Exporting a stock count can be done from the stock count module. You can find your way back to the stock count module, by selecting the menu: "Main menu" followed by the menu: "Stock count".

Here you press the link: "Export" from the icon bar, which launches this dialog:

Here you enter the name of the text file that you wish to export your stock count to, and press the button: "OK".

Now all you have to do is to wait for the export to finish, and press the button: "OK".
Your stock count has now been exported.
The configuring of the format naturally only has to be done the first time, as Service Suite remembers this format for future use.
