           - How to create a new stock count.

Stock counts can be created in 2 different ways. Either the stock count is created manually, or it is created using a bar code reader.

In this example we will describe how the stock count can be created manually.

 Create a new stock count.

To create a new stock count you start by selecting the menu: "Stock count" from the "Main menu". The stock count module looks like this:

As shown in the above illustration there are no stock counts in Service Suite yet. Because we wish to create a new stock count we press the button: "Administer stock counts" which will launch following dialog:

In this dialog you can administer your stock counts. Because we wish to create a new stock count we press the button: "New stock count", which will show the following dialog:

In this dialog you enter the name of your stock count, and select which price this stock count should use.

It is also possible to select how your new stock count should be created. You can choose to create "An empty stock count", "A stock count based on a price book", "A stock count based on another stock count" or "A stock count based on multiple stock counts".

If you select that the stock count should be created based on a price book, it will be possible to press the button: "Next >" and the dialog will display the next step, in which you can select which price book the stock count should be based on. When this price book has been selected you press the button: "Finish" and your stock count will be created and populated with all the products contained in the selected price book. This can be used if you e.g. have a number of service cars, or other kinds of mobile stores. Then you can create a price book containing the products that should be contained in each car or location, and easily make frequent stock counts of each car or location, which might help reduce undesired loss of products from your service cars or mobile stores.

Should you choose to create a stock count based on another stock count, your new stock count will contain the same products, as the products contained on the selected stock count.

If you select that the stock count should be created on the basis of multiple stock counts, you can press the button: "Next >", which allows you to select which stock counts this new stock count should be created on the basis of. This is can be used if your e.g. have several different locations and make stock counts for each location separately. Then you can collect all these stock counts into 1 stock count, which e.g. can be exported to your ERP system.

In this example we choose to create an empty stock count and press the button: "Finish", followed by the button: "OK". The screen will now look like this:

Now we need to add some products to our new stock count. This is done by pressing the button: "Add items", which will show this dialog:

In this dialog you can search in all the products contained in the product module of Service Suite. Here you select the products that you wish to insert on your stock count and click the link: "Insert items" from the icon bar. This will insert the selected products on your stock count, and the screen will look like this:

Now the stock count has been populated with the selected products. In the "Quantity" column you can enter how many pcs. of each product that was counted. It could look a bit like this:

It is possible to add products as many times as you like, as well as removing products contained on the stock count.

The description and price of each product can also be altered, and it is possible to use the quick search for adding products to your stock count.

When your stock count has been made, you can press the button: "Close stock count" which will close the currently selected stock count. When a stock count has been closed it is no longer possible to modify this stock count in any way.

Now the stock count has been closed the next step will often be to print or export this stock count, in order to import it into your ERP system. Articles explaining how this can be done are listed in the Tips & Tricks section.
