Service Suite - Products - How do I export products from Service Suite?
In Service Suite your products can easily be exported to e.g. your ERP system. Most ERP systems provide the means for importing products through the use of comma-separated files, which can easily be exported from Service Suite.
As there are no common file definition for how ERP systems import products, the first thing to do is to figure out how, and in which format, your ERP system is capable of importing products.
When this is done you use Service Suite to define the format, demanded by your ERP system.
Defining a format for exporting products.
You can define a format for exporting your customers by selecting the menu: "Settings" from the "Main menu" in Service Suite.
The menu now changes and contains a number of new menus. From this new menu you select the menu: "ERP-system", which will display the following screen:

Here you first of all must make sure that the exchange folder is defined. If this folder has not been specified you press the button: "Change folder", which will launch this dialog:

In this dialog you enter which folder to use as the exchange folder and press the button: "OK".
Now that the exchange folder has been defined, we can concentrate on the definition of the format itself. You can define this format by clicking on the link: "Change format" besides the inventory ledger. Service Suite will then launch this dialog:

In order to create a new format, you press the button: "Create new format", and a new dialog will appear:

In this dialog you enter a name for the format, as well as a brief description of the format. Besides this you specify the filename of the file that you typically wish to export your products to. Only the filename should be entered, as the path is specified by the exchange folder.
As many ERP systems have somewhat limited import options, it is also possible to specify whether the used character set should be ANSI or ASCII.
The file type will in most cases be comma-separated (CSV) files.
When these information's has been specified the button: "Next >" is pressed which will take us to the next step of the dialog:

Here you specify which fields to export, as well as the position the fields should be exported in. If there are fields that should not be exported a 0 can be entered in the position column besides the field. For some of the fields you can specify that a fixed value should be exported. If you e.g. wish to export all the products with the value: "B2" in the field "Group", this can be done by entering: "B2" in the "Fixed value" column besides the "Group" field. When the products are exported the file will contain the value: "B2" at the position defined in the position column besides the field
When the format has been defined the button: "Finish" is pressed and the dialog will be closed. Your new format can now be selected from the list of available formats in the previous dialog. Press "OK" and we are ready to export the products.
Export products.
Exporting the products can be done from the product module. You can find your way back to the product module by selecting the menu: "Main menu", followed by the menu: "Inventory".

From the menu you select the menu: "Export all items", which will launch this dialog:

Here you specify which file to export your customers to, select the new format that you have just created and press the button: "OK".

Now you just have to wait for the export to finish and press the button: "OK".
The definition of the format only needs to be done once, as Service Suite remembers this format for future use.
